Terms of Service

1. Agreement
By creating a ValetHQ account or using any part of the service, you agree to these Terms of Service (“Terms”). If you do not agree, do not use the service. ValetHQ is operated by Harrison Froggatt (“ValetHQ”, “we”, “us”).
2. The service
ValetHQ provides software tools for UK mobile valeting businesses, including:
- A customer-facing online booking page
- Stripe-powered deposit collection
- A dispatch and job management board
- Automated email and SMS notifications (SMS on Pro plan)
We reserve the right to modify, suspend or discontinue any feature of the service at any time. Where changes are material, we will give at least 14 days' notice by email.
3. Eligibility
You must be at least 18 years old and operating a legitimate business to use ValetHQ. The service is intended for UK-based businesses. You are responsible for ensuring your use of the service complies with all applicable UK laws and regulations, including consumer protection and data protection law.
4. Accounts
You are responsible for maintaining the security of your account and for all activity that occurs under it. Notify us immediately at thetotalsafetygroup@gmail.com if you suspect unauthorised access. You may not share your account with others or create accounts on behalf of third parties without consent.
5. Free trial
New accounts receive a 14-day free trial with full access to the Starter plan features. No payment is required to start a trial. At the end of the trial period, continued access requires an active paid subscription. Trial accounts that do not subscribe will have their data retained for 30 days before deletion.
6. Subscriptions and billing
- Subscriptions are billed monthly in advance
- All prices are in GBP and include VAT where applicable
- Payment is processed by Stripe. We do not store card details.
- Subscriptions renew automatically unless cancelled before the renewal date
- No refunds are issued for partial billing periods
- We reserve the right to update pricing with 30 days' notice
7. Cancellation
You may cancel your subscription at any time from your account settings. Cancellation takes effect at the end of the current billing period — you retain full access until then. After cancellation, your data is retained for 30 days and then permanently deleted.
8. Acceptable use
You must not use ValetHQ to:
- Engage in fraudulent, misleading or illegal activity
- Collect customer data beyond what is needed for legitimate bookings
- Send unsolicited marketing communications to customers
- Attempt to reverse engineer, copy or resell the software
- Interfere with the security or integrity of the platform
We reserve the right to suspend or terminate accounts that violate these terms without notice or refund.
9. Customer data and GDPR
When you use ValetHQ to collect bookings, you act as a data controller for your customers' personal data. You are responsible for:
- Having a lawful basis to collect and use that data
- Providing customers with your own privacy notice
- Handling subject access requests from your customers
- Complying with UK GDPR and the Data Protection Act 2018
ValetHQ acts as a data processor on your behalf. See our Privacy Policy for details of how we handle data.
10. Stripe and payments
Deposit payments made by your customers are processed by Stripe and paid out to your connected Stripe account. ValetHQ takes no commission on bookings. You are responsible for your own Stripe account, including complying with Stripe's terms of service and any applicable financial regulations.
11. Liability
ValetHQ is provided “as is” without warranties of any kind. We do not guarantee uninterrupted availability. To the maximum extent permitted by UK law:
- We are not liable for loss of revenue, loss of data, or indirect losses arising from use of the service
- Our total liability to you for any claim shall not exceed the fees paid by you in the three months preceding the claim
Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under UK law.
12. Intellectual property
ValetHQ and its underlying software remain our property. You retain ownership of the business data and content you enter into the platform. You grant us a licence to store and process that data solely to provide the service.
13. Governing law
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
